What Should I Do if My Moving Company in Salt Lake City Cancels Last Minute?

Call for a replacement crew before you call to argue. Availability is the thing with a deadline, and the refund conversation will still be there in two hours. Get the cancellation in writing, start calling companies that run their own trucks, and treat your deposit as a separate problem to solve afterward.

Our Salt Lake City moving crews have never canceled on a confirmed, deposited booking in more than a decade and over 10,000 moves, which is exactly why we get these calls at four in the afternoon the day before somebody’s lease ends.

Get It in Writing Before You Do Anything Else

A phone cancellation is the version that gets disputed later. Send a short email or text confirming what you were told, who told you, and when, and ask them to reply confirming it. Most companies will, and that reply becomes the document that settles the deposit question without an argument.

Keep the original booking confirmation, the deposit receipt, and any written quote together in one place while you do it. If the company goes quiet after canceling, that paper trail is the entire basis of a refund claim or a complaint, and reconstructing it a week later from memory is much harder than spending four minutes on it now.

Our guidance on resolving problems with a mover covers the escalation path in detail once the immediate crisis is handled.

Find a Replacement Crew First, Argue Second

Start calling immediately, and start with companies that own their trucks and employ their own crews. A broker can promise you a date it does not control, which is how some people end up canceled twice in one week. Ask directly whether the company performing the move is the company you are speaking to.

When you call, lead with the facts that determine whether a crew can be assembled. Give the date, the addresses, the size of the home, stairs or elevator access at both ends, and anything oversized. A company that can help will tell you in that first call.

One that needs to call you back tomorrow is not a real option on a timeline this short. Moving services booked with one company rather than coordinated across several vendors are also faster to arrange under pressure, since one call covers packing, the move, and storage if you need it.

Know What Your Deposit Actually Covers

A deposit is standard and legitimate. It exists to hold the date and lock the rate, and a company that cancels on you has not held up its end of that arrangement. That is the argument, and it is a strong one.

What is not normal, and never was, is full payment demanded before the move or a cash-only deposit with no receipt. Those are the hallmarks of an operation that was never going to show up. The mechanics of how deposits and refunds work are worth reading before you book anyone, not after.

Rebuild the Day Around a Tighter Window

A replacement crew booked at short notice often starts later than your original slot, and that changes the sequence of your day. Push the cleaning, the utility appointments, and the key handoff back accordingly rather than holding them to the old schedule and compressing the move itself.

Pack as though the crew arrives early even if they arrive late. Everything boxed, taped, and labeled before they walk in is the single biggest lever you have on the hours billed, and under a compressed timeline it matters more than usual.

If the whole move has collapsed into a three-day window, our approach to moving on 72 hours’ notice sets out what to prioritize and what to let go.

Vet the Replacement Harder Than the First One

The temptation under pressure is to take whoever answers the phone. That is how a bad week becomes a bad month. Spend five minutes confirming the basics before you pay a second deposit, because the company that canceled probably failed one of these checks and nobody noticed.

Ask whether crews are employees or contract labor. Ask for the hourly rate, the billing increment, the minimum, and whether travel time is separate. Ask what the show rate is on confirmed bookings. Then look at review volume rather than just the star rating, since a 5.0 across a dozen reviews tells you far less than a sustained rating across thousands.

We hold 5.0 across 3,701 Google reviews at our Salt Lake City location, 4.9 across 1,924 in Sandy, and an A plus rating from the Better Business Bureau, and those are separate listings rather than one number combined to look larger.

Frequently Asked Questions

Can a moving company cancel on me the day before?

Legally, yes, and it happens most often with brokers and with companies that overbook peak dates. Your recourse is the deposit terms and the written confirmation. Get the cancellation documented before you move on to finding a replacement.

You should, since the deposit exists to hold a date the company failed to hold. Request it in writing with a processing date. If the refund is refused or ignored, dispute the charge with your card issuer and file a complaint with the Better Business Bureau.

It depends on the date and the size of the home. Weekdays and non-peak months are often coverable within a few days. Month-end dates and Saturdays between May and September are the hardest. Call rather than email when the timeline is short.

Book with a carrier rather than a broker, confirm crews are employees, and ask about the show rate on confirmed bookings before you pay. A company that cannot answer those three questions clearly has already told you something.

Ask about storage on the same call. Loading into sealed vault storage keeps the move-out date intact and buys you time to sort out the new address, which is usually cheaper than an emergency hotel and truck arrangement.
